What happens between the promise and the payment

The job starts before the quote

An enquiry, a phone call, an appointment on site: from that comes a job with customer, contact and dates. What was discussed sits on it as a note and not in the personal mailbox of a colleague.

Whatever a business wants to record on top can be added as a custom attribute on the customer or on the job. That way the records fit your own trade, without a second list growing up beside them.

Required documents set out which papers have to be on file for a given case. If one of them is missing, that is flagged before the order carries on.

Calculate, procure, schedule

Before the quote comes the sum you do for yourselves. The margin carries the calculation, so the gross profit is out in the open before you commit. Whether the price holds up, you decide beforehand and not afterwards.

If the scope changes, you carry the quote on in a new version. The previous document is kept as it stood, and the revision stays traceable on the job.

What is needed becomes purchase orders. Every article carries several sources of supply, each with purchase price, minimum quantity and delivery time; Jobtura suggests which one applies during purchasing. Delivery goes to the company premises or, as a site order, to the place of work.

Scheduling shows whether goods, item and staff are free on the date. A bar chart makes overlaps visible, appointments can be moved in it directly, and approved absences take effect on the staffing at once.

During the work and after it

Hours are recorded or taken over from planned assignments. Services is a line item type of its own and is charged by time or as a flat rate, mixed with goods in the same job.

Tools, vehicles, rooms and areas are scheduled like articles and appear in the availability overview. Double bookings show up before two teams plan in the same trailer.

On the money side the same job carries on: a payment on account can be booked in advance, partial invoices are added, and the final invoice closes it. Open items and dunning letters hang on it, so on large orders you do not carry the cost for months.

A project gathers several jobs and brings costs, income and dates together across them. Whether the order paid off, you read there.
