Inspection deadlines are monitored, not remembered. Due and overdue devices appear in the overview before the deadline passes, together with open jobs and follow-ups.
The device base therefore generates the work of the coming weeks. Appointments can be assigned to staff, whole teams or regionally responsible user groups, and they can be synchronised both ways with Microsoft 365 or Outlook, or with Google Calendar. The technician then has the next job where he looks anyway.
What was done on site is recorded per appointment with evidence. The technician books time onto the job, not onto a timesheet.
After the inspection a report is created with result, inspector and date. It can be signed by the customer and then issued or sent, and where a marking is required the inspection sticker goes on the device. By then the next appointment is already running in the system.
If an inspection fails, the device can be blocked and a replacement provided. The finding is recorded with fault and fault description, and the spare parts needed are procured from the supplier through purchasing and assigned to the job or to the device.
Billing follows what was agreed. Budget, price, hours and costs hang on the contract, so that a flat rate, ongoing billing or billing per visit can exist side by side. Additional work and parts are added separately.
After that it continues commercially as with any job: invoice, incoming payment, open items and, where needed, dunning. And the next appointment is already on the device.
