Why rental does the arithmetic differently

Availability over time

In Jobtura rental is a business process of its own, with hire period, tiered prices and return. The price comes from the duration and not from the quantity.

The basis is availability per article and day. Something can stand in the warehouse and still be committed, because from Thursday it goes to another customer.

Even during planning it can be checked which quantities are free and which other jobs lay claim to the same stock. The bar chart lays jobs and line items across time, so overlaps show up before anyone commits.

When the quotation becomes the order, the plan becomes a reservation. That way the company knows not only what is in the warehouse but how much of it is already committed.

What goes out is rarely a single item

In practice a camera does not consist of a camera. Lenses, batteries, chargers and cases belong to it. Event technology works the same way, machines have accessories, furniture is offered as a set.

For articles made up of several parts there are assemblies with their own parts list. The quotation shows the set, the packing list shows the individual parts the warehouse actually has to load.

If your own stock is not enough, hiring in is a job of its own. Whatever you bring in from a colleague hangs on the same order, and therefore on the invoice you get for it.

Picking runs line by line and is confirmable by barcode. For individually kept devices it is then settled which unit went out.

An article becomes a unit with a history

For high-value material the serial number comes into play. A camera becomes a particular camera, and individually kept articles can be followed across their whole life history.

That creates a history: when it was bought, which jobs it was on, which customers had it, which inspections and repairs there were. It also stays traceable which customer had a particular unit.

At the return it is recorded what actually came back. Missing items stay open, damage is recorded with a date, and a faulty device can be blocked so that it does not appear as available again in the next order.

Every unit therefore moves through states: available, reserved, in transit, at the customer, returned, under inspection, in repair, available again. And with several warehouses the question is added of whether it is available in the right place.
