How delivery and rental become one job

The weekly business first

Buying drinks, storing them, delivering and billing them: that is the core, and it runs through quotation, order, delivery note and invoice as in any trade. Purchase prices, terms and tiered prices sit on the article per supplier.

If a hospitality customer orders roughly the same thing every week, nobody has to build it again each time. The order becomes a recurring order that supplies at the agreed interval, without the job being created afresh every time.

And since it is not only full goods on the road in the beverage trade, deposit belongs in from the start. Crates, bottles, kegs and other deposit items are kept separately. On delivery the returning empties are recorded at the same time, so it stays traceable what went out, what came back and which deposit value actually moved.

Picking runs line by line and is confirmed by barcode. Whatever is missing from the truck shows up while loading rather than at the customer.

Part delivery, cancellation and return act on stock and invoice. You deliver the rest without anyone correcting the invoice by hand.

As data exchange with the trade becomes more important, Jobtura can be connected through the GEDAT interface to the structures that suppliers, manufacturers and wholesalers already work with.

When a festival comes along

A town festival is not a bigger order but a different one. Next to the drinks, counters, cooling, standing tables and bench sets are suddenly on the list, and the organiser does not want to buy those.

In Jobtura rental bills by hire period rather than by quantity, with tiered prices and day factors. Set-up and tear-down days can be made rent free without anyone recalculating.

Goods sold and material hired out may sit in the same job. Availability per article and day flags overbooking before two festivals get the same cooling unit.

If your own stock is not enough, hiring in is a job type of its own. Whatever you bring in from a colleague hangs on the same order rather than on a note in the office.

Packing, driving, taking back

The order becomes the packing list. It shows what actually has to be loaded, while the quotation shows the service sold.

Staff and vehicles are scheduled for it. Qualifications and availability govern the staffing, approved absences take effect on it immediately, and the bar chart shows overlaps before they become a problem.

Several warehouses and locations can be kept separately, and availability is calculated per location. What sits in Bremen is not automatically available in Oldenburg.

After the festival, whatever comes back is taken back. Missing items stay open, damage is recorded with a date, and the invoice is created from the same job: goods sold, hire and whatever did not return.

If you want to know exactly, you follow the goods all the way to the guest. A keg is assigned to a beer wagon and tapped, the drinks sold through the till hang on stock, and guests can also load credit onto a chip. Keg contents and volume served produce a calculated consumption. Because some is lost while tapping and residual amounts stay in the line, the actual keg change is recorded as well. Noticeable differences between till and consumption become visible instead of disappearing between tap, till and store.
